What is Excel to PDF conversion?
Excel to PDF is the process of converting spreadsheet files (XLSX / XLS) into PDF documents, primarily used for sharing, printing, or formal submission. The PDF format has a fixed layout that renders identically on any device, so recipients cannot accidentally alter the data.
**Why use a dedicated tool?** Excel files contain dynamic formulas, conditional formatting, merged cells, and charts. Using a generic "Print to PDF" often causes truncated columns, font substitution, and incorrect page breaks. This tool uses a professional document conversion engine that automatically handles spreadsheet layout, delivering results comparable to Excel's own "Save as PDF" export.
**Common use cases:** Financial reports, client statements, price quotes, inventory lists, grade reports, order details, monthly operational data, and other spreadsheet documents that require formal submission, email distribution, or printed archiving.
**Post-conversion notes:** PDF is a static document format. Formulas will no longer be editable after conversion, but the calculated results will be preserved as numerical values in the PDF. Retain your original Excel file if you need to edit the data later.
Use Cases
- Convert monthly or quarterly financial reports to PDF for supervisor review or formal archiving
- Convert client statements and price quotes to PDF to send via email, preventing formatting issues when opened by recipients
- Convert inventory lists and order details to PDF for printing or submission to relevant departments
- Convert exam grade reports and employee performance sheets to PDF for archiving or distribution
- Share Excel documents as PDF to prevent recipients from making unintended changes to the data
How to Use
- Click the upload area or drag and drop your Excel file (XLSX / XLS) onto the page
- Click Start Conversion and wait for the server-side processing to complete
- Verify that the spreadsheet formatting and data in the converted result meet your expectations
- Download the generated PDF file for sending via email, printing, or archiving
Features
- Dual format support: Compatible with both XLSX (Excel 2007+) and XLS (Excel 97-2003) formats
- Formatting preservation: Automatically retains fonts, font sizes, borders, colors, merged cells, and conditional formatting
- No installation required: Works directly in your browser—no Microsoft Office or plugins needed
- File security: Uploaded files are automatically deleted from our servers after conversion, protecting your data privacy
- Multiple worksheets: All sheets in the Excel file are automatically converted into one PDF, no need to process them individually
- Charts preserved: Bar charts, line graphs, and other charts in your spreadsheet are embedded into the PDF as images
- Large file support: Supports individual files up to 20MB, covering the vast majority of reports and statement needs

FAQ
Will the spreadsheet formatting change after converting Excel to PDF?
This tool uses a professional document conversion engine that automatically preserves common formatting including fonts, font sizes, borders, colors, merged cells, and conditional formatting. Results are comparable to Excel's native "Save as PDF" feature. In rare cases, if Excel uses custom fonts not installed on the system, font fallback substitution may occur.
Which Excel file formats are supported?
We support both major formats: XLSX (Excel 2007 and later) and XLS (Excel 97-2003). ODS (OpenDocument) and CSV formats are not currently supported.
Can Excel files with multiple worksheets be converted?
Yes. All worksheets in the Excel file are automatically converted and output into a single PDF file, with each worksheet's content arranged sequentially.
Are Excel formulas preserved in the PDF?
PDF is a static document format and does not preserve editable formulas. During conversion, the calculated results of formulas are embedded as numerical values in the PDF—the numbers you see are the final values computed at conversion time.
Are charts from Excel preserved?
Yes. Bar charts, line graphs, pie charts, and other chart types are embedded in the PDF as images. Macros (VBA code) are not preserved, as the PDF format does not support VBA macros.
Do I need Microsoft Office installed to convert?
No. This tool performs conversion server-side. All you need is a web browser—no installation of Excel, WPS, or any other office software is required.
Are my uploaded Excel files secure?
Yes. Uploaded files are only used for conversion processing, and are automatically deleted from our servers when conversion is complete. Files are never retained or used for any other purpose. This tool is suitable for converting spreadsheets containing financial data, customer information, and other sensitive content.
What if the PDF file is too large after converting from Excel?
If your Excel file contains many images or complex charts, the resulting PDF may be large. After conversion completes, you can use the PDF compression tool to further reduce file size for easier email sending and uploading.
Are encrypted or password-protected Excel files supported?
No. If your Excel file has an open password set, please remove the password protection in Excel first before uploading for conversion.
Troubleshooting
Conversion fails or shows file format error
Please confirm the uploaded file is an Excel file in .xlsx or .xls format. If your file is in ODS or CSV format, please open it in Excel/WPS and save as XLSX first before uploading. Encrypted Excel files require password protection to be removed first.
Layout after conversion doesn't match Excel
If Excel uses rare or custom fonts, the conversion engine may substitute fonts if they are not available. We recommend embedding fonts in Excel before uploading, or switching to common fonts such as Arial. Additionally, we recommend adjusting column widths and page break positions in Excel's Page Break Preview first.
File exceeds the 20MB size limit
This tool supports a maximum file size of 20MB per file. If your Excel file is too large, this is typically due to a large number of high-resolution images. You can compress images in Excel and resave, or split the file into multiple smaller files and convert them separately.
Conversion takes a long time
Complex spreadsheets (with large datasets, multiple worksheets, or many charts) require more time to convert—please be patient. If processing exceeds 2 minutes, you can try simplifying the spreadsheet content and re-uploading.
Glossary
- XLSX
- The default file format for Excel 2007 and later versions, based on the Open XML standard. It is essentially a ZIP-compressed collection of XML files, and is fully supported by this tool.
- XLS
- The binary format used by Excel 97-2003. This tool supports conversion through a compatibility layer.
- Spreadsheet
- A document type that organizes data in rows and columns. Common applications include Microsoft Excel, WPS Spreadsheets, Google Sheets, and LibreOffice Calc.
- Worksheet
- An individual tab/sheet within an Excel document. A single XLSX file can contain multiple worksheets, all of which will be output into the converted PDF.
- Merged cells
- A formatting setting that combines multiple adjacent cells into one larger cell, commonly used for headers. The merged cell styling is fully preserved after conversion.
- Conditional formatting
- A feature that automatically applies colors, icons, or other styles based on cell values. The final visual result of conditional formatting is preserved in the converted PDF.
